Information we process

We process names, business contact details, delivery addresses, quotations, invoices, purchase orders, transaction details, product and serial numbers, repair records, uploaded documents and photographs, correspondence and approval history. We also process sign-in information, access records, connected-service credentials and technical logs needed to operate and protect the service.

Information may come from you, authorised staff, customers, suppliers or connected services. Please provide only information relevant to the business transaction and avoid uploading unnecessary sensitive information.

Purposes and legal grounds

We use information to fulfil transactions, prepare business documents, manage dispatches and repairs, communicate with business contacts, maintain accounting and audit records, provide support, prevent misuse and meet applicable legal obligations. Depending on the purpose, we rely on contractual necessity, legal obligations, legitimate interests or consent where required.

Providing information is generally voluntary. Missing contact, delivery or transaction information may prevent us from completing an order or providing a service. Certain accounting and business records must be retained under applicable law.

Connected services and recipients

Authorised staff and administrators access information according to their roles. When a QuickBooks administrator authorises a company connection, the integration can access accounting information covered by Intuit’s Accounting permission. Actual exchanges depend on the features enabled in the CRM. Connection setup reads the selected company’s identity; it does not itself create an invoice or send a customer message.

We use service providers for hosting, authentication, databases, storage, backups and communications. These include Vercel and Supabase, with email and WhatsApp services where enabled. Selected documents may be processed by an AI document-reading provider through Vercel AI Gateway where that feature is enabled. Staff must review extracted information before relying on it. We do not sell personal information.

Security and international processing

We use reasonable organisational and technical safeguards, including access controls and restricted credential storage. No system can guarantee absolute security. Information may be hosted or processed outside South Africa by our service providers. Applicable cross-border transfer requirements and contractual safeguards must be observed. Contact us for information about providers and processing locations relevant to your information.

Retention, deletion and disconnection

Information is retained for the operational, contractual, accounting and legal purposes for which it is needed, then deleted or de-identified when appropriate. Different record types may have different retention periods.

Eligible recycled CRM attachments normally remain restorable for 30 days unless an authorised user permanently deletes them sooner. Cloud storage and mapped NAS-copy cleanup may finish asynchronously and retry after failures. Historical database backups, audit records, legal holds and statutory retention obligations may retain relevant information under their separate retention arrangements.

Disconnecting QuickBooks revokes this app’s access and removes its saved connection credentials. It does not automatically erase business records already held in QuickBooks or the CRM.

Your rights and complaints

Subject to applicable law, you may request confirmation of the information we hold, access, correction or deletion, object to processing, or withdraw consent where consent is the applicable basis. We may verify your identity and explain any lawful reason that limits a request. Contact us using the details above.

You may also lodge a complaint with South Africa’s Information Regulator. Its current complaint forms and contact channels are available on its official website.

Changes

We will update the effective date when this policy changes and provide additional notice where required.
